The Registrar’s office is responsible for the secure maintenance of student files and academic records. As the custodian for Aquinas College and the security of each student’s records, information is released only at the student’s request with his or her accompanying signature according to the policies required by The Family Educational Rights and Privacy Act (FERPA) of 1974.

Education Verification

Verifications are frequently requested by insurance companies, employers, scholarship programs, and credit agencies. Aquinas College has authorized the National Student Clearinghouse to provide degree verifications.

Change of Schedule

To request a change of schedule (Drop, Add, or Withdraw), make an appointment with your advisor, and if you are receiving Financial Aid, with Mrs. Cindy Piana, to discuss the potential impact of your change of schedule on your academic progression and financial aid package. Pick up a Change of Schedule form from the Registrar’s Office or download it.  Bring the Change of Schedule form to your advisor for their signature.  After your advisor has signed the form, take it to the Office of Financial Aid for approval, and then to the Registrar’s Office. 

The following refund/withdrawal policy applies to traditionally-scheduled classes during the Fall and Spring semesters. Addition refund/withdrawal policies for accelerated and summer classes can be found in the Aquinas College Catalog.

FERPA Guidelines

The Family Educational Rights and Privacy Act of 1974 (FERPA) is the federal law that protects the privacy of student education records.

Aquinas College students have the right to review the accuracy of information kept in their cumulative file by the Registrar upon written request.

Student records will not be made available to unauthorized persons, nor will they be given to any institution or individual without the written permission of the student. This includes parents, spouses, and family members. A copy of the FERPA release form can be obtained from the Office of the Registrar, or you may download it here: Consent to Release Education Records (FERPA Release Form)

Any Aquinas College student who believes his or her FERPA rights have been violated can request a meeting with the Vice President for Academics by submitting the FERPA Violation Complaint Form.

If the student is not satisfied with the results of this hearing, he can file a complaint letter with the Family Policy Compliance Office in Washington, D.C.
